1. Welcome to Strategy Partner Pro
Strategy Partner Pro is a strategic planning and performance-tracking platform built for organisations in any industry. It gives your leadership team, department heads, and everyday contributors one shared place to define strategy, track the KPIs that measure it, plan the initiatives that deliver it, and keep an eye on the risks that could derail it.
1.1 Core Concepts at a Glance
A handful of terms come up throughout this guide. Your strategy cascades through four connected levels. Here's what each one means, and how they fit together:
| Term | What it means |
|---|---|
| Strategic Pillar | A top-level strategic priority for your organisation, e.g. "Customer Excellence". The broadest lens on your strategy. |
| Goal | A more specific aim nested under a Pillar, e.g. "Improve customer retention". |
| Objective | A concrete, measurable target nested under a Goal, e.g. "Reduce churn to under 5% by Q4". This is the level KPIs actually attach to. |
| Initiative | A real project or action plan: the actual work being done toward an Objective. |
| KPI / Key Result | A specific, measurable metric with a target and an actual value, linked to an Objective. Called "KPI" on Balanced Scorecard, "Key Result" on OKR, same thing underneath, just the name your organisation chose. |
| Perspective | A lens your strategy is grouped under: Financial, Customer, Internal Process, Learning & Growth, for example (or your own custom set). |
| Risk | Something that could stop a KPI or Goal from being achieved, scored by likelihood and impact. |
2. Getting Started
2.1 Creating Your Account
On the login page, select "Create account", or select "Sign in with Google" if your organisation uses Google Workspace or a personal Google account, either way, you'll be asked for your organisation's name.
- If your organisation is brand new to Strategy Partner Pro, simply type its name. Your account is approved instantly and you become its founding Exec Sponsor, no waiting required.
- If you're joining colleagues who are already using the platform, start typing your organisation's name and select it from the suggestions that appear. This ensures you land on the same dashboard as your team, rather than accidentally creating a duplicate organisation. Joining an existing organisation this way requires a quick approval.
The fastest way to join an existing organisation is to ask a colleague with Exec Sponsor or Strategy Owner access to invite you directly from Account Settings → Team Members (see Section 13.4). An invited teammate can sign in immediately, with no approval step at all.
2.2 Logging In
Enter your email and password on the login page, or select "Sign in with Google" if that's how you registered (or if you'd simply rather not manage another password). Both work for the same account. If you originally registered with a password and later use "Sign in with Google" with the same email address, they connect to the one account, not two.
Forgotten your password? Select "Forgot password?" to receive a temporary one, which you should change immediately after signing in from Account Settings → Security.
2.3 The Guided Setup Wizard
The first time your organisation has no Strategic Pillars yet, Strategy Partner Pro walks you through setting everything up, rather than dropping you on an empty Dashboard:
- About your organisation: your Industry, Country, Currency, and which strategy framework you'd like to use (Balanced Scorecard, OKR, or Custom). This drives your PESTLE/SWOT analysis and industry news, so it's worth setting properly here rather than leaving it for later.
- Start from your industry, or build by hand: if you chose Balanced Scorecard and your industry has a ready-made starter template, you can load a full, realistic set of Pillars, Goals, Objectives, and KPIs in one step, or build your first Pillar yourself. OKR and Custom organisations, and industries without a template yet, go straight to building by hand.
- Your first Pillar, Goal, Objective, and KPI (if building by hand): four short steps, each with a short explanation of what belongs at that level, so your first real piece of strategy is genuinely useful, not just a placeholder.
Only an Exec Sponsor or Strategy Owner sees this wizard. It sets organisation-level settings that need that level of access. Anyone can select "Skip for now" at any point; nothing is lost by doing so, and the same setup remains available afterward from Account Settings and Quick Add (Section 4).
3. Understanding Roles & Permissions
| Role | Can do |
|---|---|
| Exec Sponsor | Full control: content, settings, billing, team management. |
| Strategy Owner | Full control of content and settings, same as Exec Sponsor. |
| Dept Lead | Can edit KPIs, Goals, Objectives, Initiatives, and Risks, but not organisation settings or team management. |
| Viewer | Read-only access to everything. |
Your role is assigned when you're invited, or defaults to Strategy Owner if you register a new organisation yourself. An Exec Sponsor or Strategy Owner can change anyone's role from Account Settings → Team Members.
4. Quick Actions from the Header
A row of icons sits in the top-right of every screen, so the things you reach for most often are never more than one click away, wherever you currently are in the platform.
| Icon | What it does |
|---|---|
| Notifications | KPIs falling behind, overdue Initiatives, and Risks needing review, generated automatically. The badge shows your unread count; select any notification to jump straight to it. |
| Share | Create a read-only link to a live summary of your strategic health. No login required for whoever you send it to. See Section 13.5. |
| Quick Add | Add a new KPI, Initiative, Risk, or a whole new branch of your strategy (Pillar → Goal → Objective → KPI) without first navigating to the right tab. |
| Download a full report of your Dashboard. See Section 15. | |
| User Guide | This document, in a new tab. |
| Settings | Your organisation's profile, framework, team, and billing. See Section 13. |
4.1 Quick Add
Select "What would you like to add?" and choose New KPI, New Initiative, New Risk, or New Strategy Branch. The first three take you straight to the relevant tab with the right form already open; New Strategy Branch runs the same short Pillar → Goal → Objective → KPI walkthrough from the setup wizard (Section 2.3), just without the organisation-level questions, since those are already decided.
5. The Dashboard
The Dashboard is your home screen: a live snapshot of how your strategy is performing, updated automatically every time you open it.
5.1 The Strategic Compass
At the top of the Dashboard is your Strategic Compass, a large dial where each segment represents one of your Strategic Pillars, colour-coded by how close it is to completion (green for 90%+, amber for 70–89%, red below 70%). The number in the centre is your overall progress across every Pillar.
The compass is interactive: hover over any segment to see that Pillar's full name and percentage, or click it to jump straight to Strategic Pillars & Goals.
Beside the compass, three figures give you the headline numbers: how many Pillars and Goals you have, and how many KPIs are currently on track, followed by a note on whichever Pillar is currently your lowest performer, since that's usually where attention is most needed.
5.2 Strategic Pillars, Goal Progress & Needs Attention
Below the compass sit three panels side by side:
- Strategic Pillars: every Pillar with its roll-up progress, click any row to jump to its detail.
- Goal Progress: the real Goals sitting under your Pillars, with their own roll-up progress.
- Needs Attention: your highest-severity open risks and worst-performing KPIs, combined into one glanceable list.
Each panel scrolls independently once it has more items than fit, so a growing strategy never makes the Dashboard itself longer, it just scrolls within its own panel.
5.3 Balanced Scorecard
Beneath the compass, each of your strategy's Perspectives gets its own card showing average progress and how many KPIs sit within it, a quick way to see which parts of your strategy need attention.
5.4 Goal Progress (detail card)
A full list of your Goals with their roll-up progress, sitting above the Filter Bar and the detailed KPI table below it.
5.5 Filtering Your View
Use the filter bar, positioned directly above the Objectives & KPIs table it controls, to narrow your view down by Goal, Perspective, Objective, or Department.
6. Managing Your KPIs
The Data Management tab is where KPIs are created and maintained.
6.1 Adding a KPI
Select "Add KPI" to create a new row. For each KPI, use the Strategic Pillar → Goal → Objective cascade to pick exactly where it belongs: choose the Pillar first, which filters the Goal list to that Pillar's own Goals, then choose the Goal, which filters the Objective list the same way. This is what makes your KPI's progress roll up correctly all the way to the Dashboard.
Fill in the Perspective, KPI name, Target, Actual, and Department, then select the tick to save it. A new KPI is highlighted until you accept it.
6.2 Loading Industry Starter KPIs
If your organisation is on the Balanced Scorecard framework and has set an industry in Organisation Profile, select "Load Industry Starter KPIs" for a ready-made set of realistic KPIs across all four perspectives, a fast way to get started rather than beginning from a blank page. These are added alongside anything you already have; nothing is overwritten. This option isn't available on OKR or Custom, since the starter templates are written against the four fixed Balanced Scorecard perspectives.
6.3 Importing from a Spreadsheet
Already have your KPIs in a spreadsheet? Select "Import from CSV" and upload a file with columns for Pillar, Goal, Objective, KPI, Target, Actual, and Department. You'll see a preview including anything that would create a new Pillar, Goal, or Objective versus reuse an existing one, before anything is actually saved, and a template download if you'd like to start from a blank, correctly-formatted file. Re-importing the same file later updates existing KPIs' values rather than creating duplicates.
6.4 Editing and Deleting
Change any field directly in the table, then select the tick on that row to save your changes. Select the cross to remove a KPI entirely. This cannot be undone.
6.5 Understanding KPI Status
The exact thresholds depend on your strategy framework, since Balanced Scorecard and OKR score performance differently on purpose:
| Balanced Scorecard | OKR | Threshold |
|---|---|---|
| On Track | Achieved | 90% (BSC) / 70% (OKR) of target or above |
| At Risk | On Track | 70–89% (BSC) / 40–69% (OKR) of target |
| Behind | Behind | Below 70% (BSC) / 40% (OKR) of target |
6.6 Trend History
Every KPI quietly keeps a history of its Actual value each time it genuinely changes, visible as a small sparkline in the Trend column, colour-coded to match its current status. Hover over it for the exact values and dates behind the line.
6.7 Comments
Select the comment icon on any KPI, Initiative, or Risk to open a running discussion thread on that specific item, useful for recording context, decisions, or questions without leaving a note somewhere else entirely. Anyone with access to view the item can read and add comments; you can delete your own.
6.8 Reset to Sample
Exec Sponsors and Strategy Owners can reset an organisation's data back to a sample set from Data Management, useful when setting up a demo, but be aware this replaces all existing KPI data and cannot be undone.
7. Strategic Pillars, Goals & Objectives
Beyond individual KPIs, Strategy Partner Pro lets you build out a full strategic hierarchy from your organisation's biggest priorities down to the specific, measurable Objectives that KPIs attach to.
7.1 Adding to Your Strategy
From the Strategic Pillars & Goals tab, select "Add to Strategy", or use Quick Add (Section 4.1) from anywhere else in the platform. You'll be asked plainly what you're adding, Strategic Pillar, Goal, or Objective, each with a short description of what it means. If you haven't created a Pillar yet, "Goal" is shown disabled with the reason why; the same applies to "Objective" until you have a Goal to nest it under.
Pick Goal or Objective and you'll get one more simple question: which Pillar (or which Goal) it belongs under, before the actual form opens, already correctly scoped.
You can also add directly from an existing card: every Strategic Pillar card has its own "+ Add Goal" button, and every Goal card has "+ Add Objective", both open the same form with the parent already selected, so you never have to hunt through a list to find the right one.
7.2 Linking KPIs and Initiatives
KPIs and Initiatives attach at the Objective level, not to Pillars or Goals directly. A Pillar or Goal is a roll-up of the Objectives beneath it, not something a KPI should link to on its own. This is why the "Linked KPIs" option only appears when you're editing an Objective.
7.3 How Roll-Up Progress Works
A Pillar, Goal, or Objective's progress is calculated automatically from whatever is linked beneath it: the average progress of any KPIs directly attached, combined with the already-calculated roll-up progress of any children beneath it. This means updating a KPI's actual value automatically ripples all the way up to the Dashboard's compass. You never need to update roll-up figures by hand.
7.4 Cycles (OKR)
On the OKR framework, an Objective can carry a Cycle, a short label like "Q1 2027" marking which quarter it belongs to, reflecting how OKR Objectives are typically set fresh each quarter rather than left standing indefinitely the way a Balanced Scorecard Objective often is. It's optional, and only appears when editing an Objective on an organisation using OKR.
7.5 Organising a Large Strategy
As your strategy grows, any Pillar or Goal with children gets a small arrow you can select to collapse everything beneath it, useful for focusing on one part of your strategy at a time without scrolling past everything else. Collapsed sections stay collapsed even after you add or edit something elsewhere on the page.
8. Initiatives
A KPI tells you whether you're on track. An Initiative tells you what you're actually doing about it. Use the Initiatives tab to track the real projects, owners, and timelines behind your strategy.
8.1 Creating an Initiative
Select "Add Initiative" and fill in a title, description, owner, priority, and, optionally, a specific KPI it supports. You can also link it to the Objective it belongs under, using the same Strategic Pillar → Goal → Objective cascade used in Data Management, so it shows up correctly wherever that Objective's progress is summarised. Set a start date and due date; overdue initiatives are flagged automatically.
8.2 Status & Priority
| Status | Priority |
|---|---|
| Not Started | Low |
| In Progress | Medium |
| On Hold | High |
| Completed | |
| Cancelled |
Update the Progress percentage as work advances. This is shown as a progress bar on each Initiative's card, alongside its status and priority.
8.3 Budget & Actual Spend
Optionally record a Budget and Actual Spend on any Initiative, shown in your organisation's chosen currency (set in Organisation Profile, Section 13.1). Leave both blank if you don't track cost at the Initiative level, nothing appears on the card until you do. Once you enter a budget, the card shows spend as a proportion of it, with a clear warning if actual spend has gone past the budgeted amount.
9. Risk Register
The Risk Register tracks what could stop a KPI or Goal from being achieved. Add a risk with a title, description, owner, likelihood (1–5), and impact (1–5). The two combine into a risk score that determines its severity band, from Low to Critical.
9.1 Mitigation Plans
Record what's being done to reduce a risk's likelihood or impact directly on the risk itself, and update its status as work progresses: Open, Mitigating, Closed, or Accepted. Comments (Section 6.7) work here too, for a running discussion on a specific risk.
10. Scenario Planning
Try out hypothetical KPI values and see how your Pillars, Goals, and Objectives would roll up if they came true, before committing to anything real. Adjust any number of KPIs at once using the sliders, and every level above them recalculates instantly.
Select "Reset All" at any time to return every value to what's actually recorded.
11. Activity Log
A running record of who changed what, and when, across your Pillars, Goals, Initiatives, KPIs, and Risks, useful for a general sense of recent activity, and often genuinely necessary for a regulated organisation that needs to show who updated a figure and when. Filter by KPIs, Pillars & Goals, Initiatives, or Risks using the dropdown at the top.
12. Industry Insights & Innovation Trends
12.1 Industry Insights
Brings in live news relevant to your organisation, organised by perspective, so you can see what's happening in your sector alongside your own strategic data. If you've set an industry in Organisation Profile, you'll also see news specific to that industry. Use the country filter to narrow results further, and select "Refresh News" at any time to pull the latest stories.
12.2 Innovation Trends
Automatically identifies recurring themes across current news: AI & Automation, Digital Transformation, Sustainability & ESG, Cybersecurity & Risk, and others, updating automatically every time news is refreshed.
12.3 PESTLE Analysis
A structured view of the Political, Economic, Social, Technological, Legal, and Environmental factors affecting your industry in your country. Each point is synthesised by AI from real, recent news specific to your Industry and Country, and every point links back to the article that informed it. Refreshes automatically every Monday morning; an Exec Sponsor or Strategy Owner can also trigger a manual refresh at any time.
12.4 SWOT Analysis
Works the same way as PESTLE, covering Strengths, Weaknesses, Opportunities, and Threats. Strengths and Weaknesses describe your industry's own current position; Opportunities and Threats describe developments in the wider environment your industry doesn't control but that could help or hurt it.
13. Account Settings
13.1 Organisation Profile
Set your Industry, Country, Currency, Financial Year, and, if you'd like the platform to feel like your own, a Display Name, logo, and brand colours shown on your team's view only. Currency is shown wherever a monetary figure appears, currently Initiative budgets and actual spend (Section 8.3).
13.2 Choosing Your Strategy Framework
Three options, changeable at any time from here:
| Framework | Best for |
|---|---|
| Balanced Scorecard | The classic four-perspective model (Financial, Customer, Internal Process, Learning & Growth). Supports Industry Starter KPIs. |
| OKR | Objectives & Key Results, scored on a more forgiving 0–100% stretch-goal scale (Section 6.5), with optional quarterly Cycles on Objectives (Section 7.4). |
| Custom | Define your own Perspectives: any names, any number, any order. |
OKR and Custom both let you add your own Perspectives from here, the same way.
13.3 Report Digest
Have a summary of your organisation's overall status emailed automatically, weekly or monthly, your choice, or off entirely. Set this from Organisation Profile, underneath Financial Year.
13.4 Team Members
Invite colleagues directly by email and temporary password. They can sign in immediately, no approval step needed. Exec Sponsors and Strategy Owners can change anyone's role or remove them from here too.
13.5 Shareable Read-Only Link
Generate a link showing a live, read-only summary of your organisation's overall status and Pillar-level progress. No login required, and no individual KPI detail shown, so it's reasonable to send to a board member or external stakeholder who just needs the overall picture. Reachable from the header (Section 4) or here. Revoke or regenerate it at any time; the old link stops working the moment you do.
13.6 Security
Change your own password at any time. This doesn't affect anyone else on your team. If you signed up with a password and would rather use "Sign in with Google" going forward, just start using it with the same email address; both stay connected to the one account (Section 2.2).
14. Your Free Trial & Billing
14.1 Your 21-Day Free Trial
New organisations get full access for 21 days, no payment required upfront.
14.2 Understanding Your Licence Status
Check your current status, Trial, Payment Required, Awaiting Activation, Active, or Expired, from Account Settings → Billing at any time.
14.3 Paying for Your Licence
Pay online by card or mobile money via The Teller, or record cheque payment details for our team to confirm.
14.4 Renewing Your Licence
Renew ahead of your expiry date from Account Settings → Billing, no need to wait until access is actually blocked.
15. PDF Reports
Download a full PDF report of your Dashboard, including a snapshot of the compass and every individual KPI, from the header icon or Data Management tab.
16. Tips for Getting the Most Out of Strategy Partner Pro
- Build your Strategic Pillars and Goals before adding many KPIs. It's much easier to file a new KPI under an existing Objective than to reorganise dozens of KPIs later.
- Use the compass on the Dashboard as your daily starting point. Click a segment to jump straight into whatever needs attention.
- Review your Risk Register alongside your KPIs, not separately. The Dashboard's "Needs Attention" panel already combines both.
- Before a big planning conversation, use Scenario Planning to test a few "what if" numbers first. It's often easier to agree on a target once everyone can see how it would actually roll up.
- If you're not sure which tab something belongs in, use Quick Add from the header instead of hunting. It takes you straight there.
17. Frequently Asked Questions
Can I undo a deleted KPI, Goal, or Initiative?
No, deletion is permanent. Double-check before confirming.
Why does my Pillar show 0%?
It has nothing linked beneath it yet. See Section 7.3.
Can I change my organisation's strategy framework later?
Yes, from Account Settings → Choosing Your Strategy Framework, at any time.
I signed up with a password. Can I switch to Google sign-in?
Yes. Just select "Sign in with Google" using the same email address you registered with; it connects to your existing account rather than creating a new one. Your password keeps working too, if you'd rather keep both options.
Does switching to OKR delete my existing KPIs and Pillars?
No. Switching frameworks changes terminology and how status is scored, not your underlying data. Everything you've already built stays exactly where it is.
Is anything from Scenario Planning saved?
No, deliberately. It's a live "what if" exploration that discards itself the moment you leave the tab. Nothing is written anywhere, and nobody else can see it.
Who can see my Shareable Read-Only Link?
Anyone you send it to, and only the summary it's designed to show: overall status and Pillar-level progress, never individual KPI detail. Revoke it at any time from Account Settings if you no longer want it active.
